Job Title: WUSA President Assistant (PA)

Hours: Up to 15 hours per week
Rate: $20.00-$21.00 per hours

Job Summary

The Waterloo Undergraduate Student Association (WUSA) is seeking a highly organized and detail-oriented President Assistant (PA), to provide day-to-day administrative and communications support to the WUSA President. This role is integral to supporting the President’s involvement in high-level governance work, campus affairs, and external relations.

As a member of WUSA’s Advocacy and Stakeholder Relations team, the President’s Assistant (PA) will contribute to the organization’s efforts to effectively represent and advocate for the needs of undergraduate students at the University of Waterloo.

Job Responsibilities

Working directly with the President, and overseen by the Stakeholder Relations Officer, the President Assistant (PA) will:

  • Monitor the President’s email inbox, draft and send replies, and manage follow-up and referrals to stakeholders
  • Attend University of Waterloo and other relevant committee or stakeholder meetings as a representative of the President when they are unavailable, or accompany the President to provide notetaking and logistical support
  • Provide administrative support by monitoring and tracking the progress of projects and initiatives in alignment with the executive action plan
  • Assist in the preparation of materials for Senate, Board, and committee meetings, including conducting internal research and environmental scans
  • Help organize and maintain meeting notes, agendas, and key documents in a centralized and accessible system
  • Draft correspondence, manage follow-ups, and coordinate responses to internal and external stakeholders on behalf of the President
  • Support the development of presentations and reports, including slide decks and briefing notes, as required

Required skills

  • Strong organizational and time management skills, with the ability to prioritize administrative tasks to meet deadlines
  • Excellent written and verbal communication abilities, including drafting professional correspondence and reports
  • Demonstrated initiative and problem-solving skills, with a proactive approach to supporting executive-level work
  • Familiarity with committee and governance structures (e.g., WUSA Board of Directors, University Senate, etc.)
  • Ability to manage confidential information with discretion and sound judgement
  • Technological proficiency, including experience with the Microsoft Office Suite (Word, Excel, PowerPoint), and comfort with digital collaboration tools

Preferred skills

  • Experience with project tracking or providing administrative coordination in a fast-paced environment
  • Experience developing briefing materials, reports, or presentations for senior leadership or governance bodies
  • Understanding of post-secondary student governance, institutional structures, or advocacy
  • Comfortable working independently with minimal supervision, as well as collaboratively within a team

SUMMARY OF DUTIES

  • Governance Support
  • Represent the President in internal or external meetings as needed, including taking notes and reporting if key discussion points
  • Track action items and ensure timely follow-up on tasks stemming from committee or governance-related work

Administrative Support

  • Maintain organized and centralized systems for storing meeting notes, agendas, and key documents
  • Support email communications, including drafting responses and managing follow-up tasks and referrals

Project & Research Work

  • Review internal research and environmental scans to support preparation for meetings and initiatives Assist in drafting documents, slide decks, briefing notes, and reports for both internal and external purposes

Compensation and Benefits Information:

This position offers up to 15 hours per week, including both daytime and evening work. Hybrid schedule with a mix remote and in-person work. Pay is determined according to experience.
